Event Planning: Hotel Welcome Bags

Introduction

A client is planning a wedding that is in a destination.  The client is from Brisbane and planning a wedding on Hamilton Island.  Your client is looking for creative ideas on how to engage their wedding guests and make them feel valued and a part of the wedding celebration. The guests will be staying in a resort near the wedding location.  You are tasked with creating ideas for their welcome bags for them as they check into the hotel along with researching activities for the guest to take part in during their weekend stay if they want to go out and explore.  Some inspiration is below! 

Task

You are to take on the role of an event planner.  Your job is to develop a concept to present to your client who is planning a wedding for her daughter's upcoming wedding.  You need to be prepared to present your ideas to your client within 2 business days.  Get your creative juices flowing! 

Process

Step 1: 

Gather Ideas on creating a welcome bag for hotel guests of a wedding celebration.  You need to be prepared for a min of 30 bags.  

Consider the following items that you will need to be sure to address. 

  1. How would you decorate the bag? 
  2. Based on the items you select for the bag, how much would it could per bag? 
  3. Do you have questions for the client?  Prepare a list of them?  

Step 2:

Decide on items you would place in the bag. 

Step 3: 

Also included in the bag is requested for ideas on things to do in the area.  Please make sure to research things to do on Hamilton Island.

Once you find the ideas of what to do on Hamilton Island, create a handout to include in the welcome bag.  

  • Find a min of 5 things you would suggest visitors to do.  

Step 4: 

Create a way to present your ideas to the client.  (choice is yours, you can do one or both)

  • You can create a physical product to pitch

  • You could create a PowerPoint presentation 

  • Remember this is a sales pitch, so come up with a team name/business name!  You may work individually or in pairs.

Conclusion

This assignment is to simulate what it would be like to take on the role of wedding planner and pitching ideas on a specific task to a client. By the end of the project you should be able to have a better understanding of pitching ideas to a client and how to work with a client to meet their expectations.
